Job OpportunityVenue Rental Coordinator

Overview:
As a Venue Rental Coordinator at Wilkes Playmakers, you will be responsible for managing and facilitating the rental of Benton Hall Community Arts Center  to external parties for various events such as meetings, birthday parties, conferences, weddings, and more. You will serve as the primary point of contact for potential renters, ensuring smooth communication, coordination, and execution of rental agreements.

Key Responsibilities:

Rental Inquiries

Respond promptly to rental inquiries via phone, email, or in-person visits. Provide detailed information about available dates, pricing, facilities, and rental policies.

Facility Tours

Conduct tours of the theater space for prospective renters, highlighting key features, amenities, and rental options available.

Marketing and Promotion

Assist in promoting the theater space as a venue for rent through various channels, including social media, website listings, and promotional materials.

Client Relations

Build and maintain positive relationships with renters, understanding their needs and ensuring their expectations are met throughout the rental process.

Event Coordination

Collaborate with renters to plan and coordinate logistics for their events, including setup, technical requirements, access to facilities, and any additional services required.

Maintenance Oversight

Coordinate with maintenance staff to ensure the building is clean, well-maintained, and ready for rental events. Address any maintenance issues or concerns promptly.

Contract Management

Prepare rental agreements, contracts, and invoices accurately and efficiently. Coordinate the signing of contracts and collection of payments in a timely manner.

Communication

Serve as the main point of contact for renters leading up to and during their events. Keep renters informed of any updates, changes, or requirements related to their rental agreement.

Feedback Collection

Solicit feedback from renters following their events to identify areas for improvement and ensure a high level of satisfaction.

Qualifications

  • Previous experience in event coordination, venue management, hospitality, or related fields preferred.

  • Excellent communication and interpersonal skills.

  • Strong organizational and time management abilities.

  • Attention to detail and ability to multitask in a fast-paced environment.

  • Knowledge of theater production, technical equipment, and facility management is a plus.

  • Proficiency in Google Suite.

  • Availability to work evenings and weekends as required by rental events.
